We use it to serve you, we do not sell it, and we honor your privacy rights under California, Washington, and other state laws. Full details below.

This Privacy Policy explains how West Sound Comfort Systems, a Washington business (“West Sound Comfort Systems,” “we,” “us,” or “our”), collects, uses, and discloses personal information through the website located at westsoundcomfort.com (the “ Site”) and the related services we offer to residential customers in Kitsap County and the Olympic Peninsula, Washington.

2. Information we collect
Depending on how you interact with the Site, we may collect the following categories of information:
- Identifiers & contact information — name, service address, billing address, phone number, email, and, where applicable, IP address.
- Service & booking details — the property information, equipment details, preferred appointment window, and any description of the issue you share when you request a quote, schedule service, or ask a question through a Site form.
- Employment application information — details you submit through our careers page, including work history, contact details, and any documents you upload.
- Financial-adjacent information — we do NOT process card payments on this Site. When you apply for financing, you are directed to our financing partner (Regions Home Improvement Financing, through Regions Bank, Member FDIC), and any application data is submitted directly to them under their own privacy policy.
- Communications — the content of emails, chat messages, and text messages you exchange with us, and, where lawful and disclosed, recordings or transcripts of phone calls to our call-tracking numbers (see §10).
- Usage & device information — browser type, device type, operating system, referring URL, pages visited, time on page, and general (city-level) geolocation, collected via server logs and analytics tools.
- Cookies & similar technologies — first- and third-party cookies, local storage, and pixels used for essential Site functions, analytics, and (where you consent) measurement or advertising.

- Automatically from your device when you visit the Site (server logs, analytics, cookies).
- From service providers that help us operate the Site and run our business (hosting, form delivery, analytics, communications).

5. How we disclose your information
We disclose personal information to the following categories of recipients, and only for the purposes described in this policy:
- Service providers & processors — vendors that host the Site (cloud infrastructure), that relay form submissions and manage our CRM (our form-relay endpoint at api.ciwebgroup.com), that provide analytics, that power our phone, chat, and email communications, and that provide dispatch and scheduling tools.
- Financing partners — when you apply for financing, Regions Home Improvement Financingand Regions Bank, Member FDIC receive the application data you submit; they process it under their own privacy policies.
- Professional advisors — attorneys, accountants, and insurers, where reasonably necessary.
- Legal & safety recipients — courts, regulators, and law enforcement when required by law, subpoena, or to protect our rights, our customers, or the public.
- Business transfers — a successor entity in the event of a merger, acquisition, reorganization, or asset sale, subject to this policy.
6. We do NOT sell your personal information
West Sound Comfort Systems does not sell your personal information for money, and we do not “share” personal information for cross-context behavioral advertising as those terms are defined by the California Consumer Privacy Act (as amended by the California Privacy Rights Act). We also do not knowingly sell or share the personal information of consumers under 16.
7. Your privacy rights & choices
Depending on where you live, you may have some or all of the following rights:
- California residents (CCPA/CPRA). You have the right to (i) know what personal information we collect, use, and disclose about you; (ii) request deletion; (iii) request correction; (iv) opt out of the sale or sharing of personal information (we do neither); (v) limit the use of sensitive personal information; and (vi) be free from retaliation for exercising these rights.
- Washington residents. Washington's My Health My Data Act protects “consumer health data.” We do not knowingly collect consumer health data through this Site, and we do not share or sell any such data. If you believe you have submitted health-adjacent information, contact us to have it deleted.
- Residents of Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws. You have the rights available under your state's law, which may include the right to access, correct, delete, port, or opt out of certain processing of your personal information. Contact us using the details in §15 to exercise these rights.
Do Not Sell or Share My Info. As stated above, West Sound Comfort Systems does not sell personal information for money and does not share it for cross-context behavioral advertising — there is no sale or share to opt out of. If that ever changes, this section will be updated with an opt-out mechanism before any such sale or sharing begins.

We will verify your request using information reasonably necessary to confirm your identity, respond within the timeframe required by law, and will not discriminate against you for exercising a right. An authorized agent may submit a request on your behalf with proof of authorization.
8. Text messaging
West Sound Comfort Systems does not currently offer a marketing or automated text-messaging (SMS) program from this website. The phone number you provide on a Site form is used to reach you about your specific request. A member of our team may call you back or, only where you have expressly asked us to, send an individual (one-to-one) text message from a team member to answer your question or coordinate an appointment.
If we later add an automated or promotional SMS program (for appointment reminders, quotes, or marketing offers), we will:
- Add a separate, unchecked SMS-consent checkbox to any Site form that would enroll you;
- Disclose message frequency, that message & data rates may apply, and the number messages will come from;
- Provide standard STOP (unsubscribe) and HELP (support) keyword handling;
- Register the program under the A2P 10DLC framework required by U.S. wireless carriers;
- Update this section of the Privacy Policy before enrollment begins.
Your mobile phone number and SMS opt-in status (if any) will never be sold or shared with third parties or affiliates for their marketing purposes. No mobile-originated data is disclosed to third parties for marketing.
9. Cookies, tracking technologies & your choices
The Site uses cookies and similar technologies in three broad categories:
- Essential cookies — required for the Site to function (e.g., security, session, load balancing). These always run.
- Analytics cookies — help us understand how the Site is used so we can improve it. These only fire after you accept them via our cookie-consent banner.

10. Analytics & advertising providers
Where we use analytics or measurement providers, they may set their own cookies. Post-launch, we may use tools such as Google Analytics 4 or Google Tag Manager and third-party call-tracking providers to measure inbound calls. Where call tracking is used, calls to our tracking numbers may be recorded or transcribed for quality and training; a live disclosure will be provided on the call where required by law.

11. Children's privacy (COPPA)
The Site is directed to adult homeowners and property managers. It is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have collected such information, we will delete it. A parent or guardian who believes their child has provided us with personal information may contact us at sales@westsoundcomfort.com.
12. Data retention
We keep personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, to comply with our legal, tax, licensing, and warranty obligations, to resolve disputes, and to enforce our agreements. When we no longer need information, we securely delete or de-identify it.
13. Security
We use administrative, technical, and physical safeguards designed to protect the personal information we hold. The Site is served over HTTPS, form submissions are transmitted over encrypted channels, and we do not process card payment data through this Site. Please remember that no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
